New users need to activate their accounts before they can access FlightWise portals. This guide shows how to send activation links that allow users to set their password and begin using the system. Follow these steps to send an activation email to a user:
  1. Navigate to User Profile
    • Go to the Users section in the administrator portal
    • Find and click on the user who needs activation
    • The user’s profile page will open
  2. Access Email Options
    • Click the “Options” button in the header of the sidebar
    • Hover over or click “Send email” in the dropdown
    • Select “Activation link” from the submenu
  3. Configure Activation Settings
    • A modal window will appear with activation options
    • Expiry Time: Select how long the link remains valid
      • Default: 72 hours (3 days)
      • Options: 24 hours, 48 hours, 72 hours, 7 days
    • Choose based on how quickly you expect the user to activate
  4. Send the Email
    • Review the user’s email address to ensure it’s correct
    • Click “Send Email” to dispatch the activation link
    • The system will confirm the email was sent successfully

What Happens Next

User Receives Email

The user will receive an email containing:
  • Welcome message
  • Activation link button
  • Link expiry information
  • Basic getting started instructions

Account Activation Process

  1. User clicks the activation link in their email
  2. They’re directed to the password setup page
  3. User enters their desired password
    • Must meet security requirements
    • Confirmation field ensures accuracy
  4. User submits the form
  5. Account is activated immediately
  6. User is redirected to login page

Portal Access

Once activated, users can:
  • Log in with their email and new password
  • Access all portals their roles permit:
    • Student Portal
    • Instructor Portal
    • Administrator Portal
    • Kiosk access (if configured)
  • If the link expires, simply send a new one
  • Previous links become invalid when new ones are sent
  • No limit on how many times you can resend

Checking Activation Status

  • User profile shows activation status
  • Inactive users display “Pending Activation”
  • Active users show “Active” status with activation date

Troubleshooting

Common issues and solutions:
  • Email not received: Check spam folders, verify email address
  • Link expired: Send a new activation link
  • Link not working: Ensure user hasn’t already activated
  • Password errors: Remind user of password requirements

  • Send promptly: Send activation links immediately after creating accounts
  • Follow up: Check if users activate within 24-48 hours
  • Provide support: Be ready to resend links or assist with activation
  • Verify emails: Double-check email addresses before creating accounts
  • Communicate expectations: Let users know when to expect the email
