Roles control what users can access and do within FlightWise. Assigning the correct roles ensures users have appropriate permissions for their responsibilities while maintaining system security.

Assigning a Role

Follow these steps to assign a role to a user:
  1. Navigate to User Profile
    • Go to the Users section in the administrator portal
    • Find and click on the user you want to modify
    • The user’s profile page will open
  2. Access Edit Mode
    • Look for the user’s name at the top of the sidebar
    • Click the “Options” button next to the name
    • Select “Edit” from the dropdown menu
  3. Locate Roles Section
    • Scroll down in the edit form
    • Find the “Roles” section
    • This displays current roles and allows adding new ones
  4. Select New Role
    • Click on the role select box
    • A dropdown will display all available roles
    • Choose the appropriate role from the list:
      • Administrator
      • Instructor
      • Student
      • Dispatcher
      • Accountant
      • Or any custom roles your organization has created
  5. Add the Role
    • After selecting a role, click the “Add Role” button
    • The role will appear in the user’s role list
    • Users can have multiple roles if needed
  6. Save Changes
    • Click “Save” at the bottom of the form
    • The role will apply immediately
    • The user now has all permissions associated with that role

Understanding Role Assignment

Multiple Roles

  • Users can have multiple roles simultaneously
  • Permissions are cumulative - users get all permissions from all assigned roles
  • Common combinations: Instructor + Administrator, Student + Dispatcher

Immediate Effect

  • Role changes take effect immediately upon saving
  • Users may need to refresh their session to see new features
  • No need to log out and back in

Role Removal

  • To remove a role, click the X next to the role name
  • Save changes to apply the removal
  • Ensure users maintain at least one active role

Best Practices

  • Principle of Least Privilege: Only assign roles users need for their work
  • Regular Reviews: Periodically review user roles for accuracy
  • Documentation: Keep records of why specific roles were assigned
  • Training: Ensure users understand their new permissions when roles change
