Uploading a Fuel Slip

Follow these steps to attach and scan a fuel receipt:
  1. Navigate to Fuel Uplift Record
    • Go to the specific fuel uplift record you want to update
    • This can be accessed from the aircraft’s fuel uplift history
  2. Open Upload Options
    • Click the “Options” button in the top right corner of the fuel uplift details
    • Select “Attach fuel slip” from the dropdown menu
  3. Select Fuel Receipt
    • Click “Select file” or drag and drop your fuel slip
    • Supported formats: PDF documents or image files (JPG, PNG)
    • Ensure the receipt is clear and legible for optimal scanning
  4. Automatic Document Scanning
    • The system will automatically scan the uploaded document
    • AI-powered extraction identifies:
      • Total fuel cost
      • Tax amounts
      • Fuel quantity
      • Price per unit
      • Supplier information
      • Receipt date
  5. Review Extracted Details
    • Critical step: Carefully review all scanned information
    • The system presents extracted data in editable fields
    • Common fields to verify:
      • Base fuel cost
      • Tax breakdown (GST, excise, etc.)
      • Total amount
      • Currency
      • Payment method
  6. Make Corrections if Needed
    • Click on any field to edit incorrect values
    • Add any missing information not captured by the scan
    • Ensure all monetary values match the receipt exactly
  7. Save the Attachment
    • Once all details are verified and correct, click “Save”
    • The fuel slip will be permanently attached to the uplift record
    • All cost data will flow into your operating expense reports

Best Practices for Fuel Slip Scanning

  • Use high-resolution scans or photos
  • Ensure text is not blurry or cut off
  • Avoid shadows or glare on photos
  • Include the entire receipt in the image
